n8n or custom code? How to choose an automation approach

When a visual workflow tool like n8n is the right choice, when custom software is better, and how to decide without overbuilding.

When a business decides to automate a process, one of the first questions is how to build it. A workflow platform such as n8n can connect tools in days. Custom code gives complete control. Neither is always right, and choosing well saves a lot of rework.

When a workflow tool is the right choice

  • The process mainly moves data between tools that already have APIs: CRM, forms, email, messaging, spreadsheets.
  • The logic is understandable as a flow: if this happens, check that, then do the next thing.
  • You want people on your team to be able to see and adjust the automation.
  • Speed to first value matters and the volume is moderate.

When custom software is better

  • The process is core to your product or competitive advantage.
  • Business rules are complex, change often or must be tested like application code.
  • You need high throughput, low latency or strict control over performance.
  • You need a user interface, roles and permissions around the process, not just the automation behind it.

A hybrid is often best

Many of the best systems combine both. A workflow platform handles the connections and orchestration, while a small piece of custom code or a dedicated API handles the logic that needs rigor. This keeps most of the system easy to understand and change, while the critical part is properly engineered.

Questions to ask before you build

  • What happens when a step fails, and who finds out?
  • Who will maintain this in a year, and can they understand it?
  • Where does the data live, and who is allowed to see it?
  • What would we do if this process doubled in volume?

If you can answer those confidently with a workflow tool, start there. If the answers point to complexity or scale, invest in custom software for that part. The right choice is the simplest one that still meets your requirements.
