Where to start with AI in a small or mid-sized business

A grounded approach to choosing your first AI project: find the repetitive work, check the data, start small and measure what matters.

There is no shortage of AI tools, which makes it harder, not easier, to know where to begin. The most successful first projects tend to share a few traits: they are narrow, they replace repetitive work and they connect to systems the business already uses.

Look for repetitive, rules-based work

List the tasks your team repeats every day: answering the same questions, entering the same data, sending the same follow-ups, sorting incoming requests. Tasks that follow a pattern but still need a little judgment are often the best fit for an AI agent or workflow.

Check the inputs

  • Is the information the AI needs available in a system, document or knowledge base?
  • Is it accurate and current enough to rely on?
  • Can the AI take the action you want, such as booking or updating a record, through an API?

Pick one workflow and define done

Choose a single workflow and describe what success looks like in plain language: calls are answered, leads receive a reply right away, documents are entered correctly. Write down the exceptions that should go to a person. A tightly scoped first project is easier to test and easier to trust.

Keep a person in the loop

Start with review steps for anything that is costly to get wrong. As the system proves itself on real cases, you can loosen the review for low-risk actions and keep it for the important ones.

Plan to improve it

The first version is a starting point. Review real outputs, fix the gaps and expand to the next workflow once the first one is dependable. Progress comes from steady, practical improvements rather than one large launch.
